Managing Fee Concessions, Scholarships & Discounts

TL;DR: Create concession categories (sibling discount, scholarship, staff child, etc.), set percentage or fixed-amount reductions, and assign them to individual students or groups.


Types of Concessions

Step 1: Create Concession Categories

  1. Go to Finance → Concessions → Categories.
  2. Click + New Category.
  3. Configure:
    • Name — e.g., "Staff Child Discount"
    • Type — Percentage or Fixed Amount
    • Value — e.g., 50% or ₹10,000
    • Applicable Fee Heads — All or specific (e.g., tuition only)
    • Approval Required — Toggle if admin approval is needed

Step 2: Assign to Students

Individual Assignment

  1. Go to Students → [Student] → Finance → Concessions.
  2. Click + Add Concession.
  3. Select the concession category.
  4. Set validity period (e.g., current academic year only).
  5. Add remarks (reason for concession).
  6. Click Apply.

The student's fee ledger automatically recalculates.

Bulk Assignment

  1. Go to Finance → Concessions → Bulk Assign.
  2. Upload an Excel file with columns: Student Name / Admission No, Concession Category, Value.
  3. Or select students manually and apply a category to all selected.

Step 3: Approval Workflow (Optional)

If approval is enabled for a concession category:

  1. When a concession is applied, it enters "Pending Approval" status.
  2. The approver (Admin/Principal) gets a notification.
  3. Go to Finance → Concessions → Pending Approvals.
  4. Review, approve, or reject each request.
  5. Approved concessions auto-apply to the fee ledger.

Concession Reports

Track the financial impact of concessions:

  1. Go to Finance → Reports → Concession Summary.
  2. View:
    • Total concession amount given (month/year)
    • Concession count by category
    • Class-wise concession distribution
    • Student-wise concession details

Troubleshooting

Q: A concession isn't reflecting in the student's fees. A: Check if the concession has been approved (if approval workflow is enabled). Also verify the validity period hasn't expired.

Q: Can I apply multiple concessions to one student? A: Yes. Concessions stack (e.g., Staff Child 50% + Sibling 15%). The system applies them sequentially to remaining amount.

Q: How do I remove a concession mid-year? A: Go to Students → [Student] → Finance → Concessions and click Remove. You can choose to recalculate from current month or retroactively.
