Understanding Your Admin Dashboard

TL;DR: The EduSuite OS admin dashboard is your school's command center. It shows real-time attendance, fee collection, upcoming events, and operational alerts — all in one view.


Dashboard Layout Overview

When you log in as an administrator, your dashboard is organized into these key sections:

1. Quick Stats Bar (Top)

The top row displays four key metrics at a glance:

  • Total Students — Currently enrolled student count
  • Today's Attendance — Percentage of students present today
  • Fee Collection (This Month) — Total amount collected vs. expected
  • Pending Actions — Items requiring your attention (approvals, alerts, etc.)

2. Attendance Heatmap

A visual grid showing attendance patterns across classes:

  • Green cells — 90%+ attendance
  • Yellow cells — 75-89% attendance
  • Red cells — Below 75% attendance

Click any cell to drill down into that class's detailed attendance report.

3. Fee Collection Overview

A live chart showing:

  • Collection rate — Percentage of expected fees collected
  • Outstanding balance — Total unpaid amount
  • Recent transactions — Last 5 payments received
  • Defaulter count — Number of students with overdue fees

4. Quick Actions Panel

Shortcuts to your most-used features:

  • Take Attendance
  • Send Announcement
  • View Fee Defaulters
  • Generate Report
  • Add New Student

5. Recent Activity Feed

A chronological log of recent actions across the school:

  • New student registrations
  • Fee payments received
  • Staff leave requests
  • Parent messages

6. Upcoming Events & Calendar

Displays events from your academic calendar:

  • Exams, holidays, parent meetings
  • Deadlines and important dates
  • Click any event to view details or edit

Customizing Your Dashboard

Rearrange Widgets

  1. Click the ⚙️ Customize button in the top-right corner.
  2. Drag and drop widgets to rearrange their position.
  3. Toggle widgets on/off based on your preference.
  4. Click Save Layout to apply changes.

Role-Based Dashboards

Different roles see different dashboards:

Understanding Dashboard Metrics

Attendance Rate Calculation

Attendance Rate = (Students Present / Total Students) × 100

This is calculated in real-time and updates as teachers mark attendance throughout the day.

Fee Collection Rate

Collection Rate = (Amount Collected / Amount Expected) × 100

"Expected" is based on fee structures assigned to each class for the current billing period.


Troubleshooting

Q: My dashboard shows zero data. A: This usually means data hasn't been imported yet. Start with importing students and setting up fee structures.

Q: Attendance numbers seem wrong. A: Verify that teachers have marked attendance for today. Check Attendance → Today's Log for class-by-class status.

Q: I can't see certain widgets. A: Your role may not have access to all widgets. Ask your admin to review your role permissions.
