Setting Up Exams: Schedule, Seating & Hall Tickets

TL;DR: Create exam events, build schedules with dates/times per subject, optionally generate seating plans, and distribute hall tickets to students — all from one workflow.


Step 1: Create an Exam

  1. Go to Academics → Exams → + New Exam.
  2. Fill in:
    • Exam Name — e.g., "Mid-Term Exam 2026", "Unit Test 1"
    • Term — Which academic term this belongs to
    • Classes — Which classes are taking this exam
    • Start & End Dates — Overall exam window
    • Exam Type — Written, Practical, Online, Viva

Step 2: Build the Schedule

  1. Click on the exam → Schedule.
  2. For each subject, set:
    • Date — Exam date
    • Time — Start and end time
    • Duration — In minutes
    • Max Marks — Full marks for this paper
    • Pass Marks — Minimum to pass

Example: Mid-Term Schedule (Class 10)

  1. Click Save Schedule.

Step 3: Seating Arrangement (Optional)

  1. Click Seating Plan.
  2. Choose arrangement type:
    • Classroom-based — Students sit in their own class
    • Shuffled — Students mixed across rooms (prevents copying)
    • Roll number based — Sequential seating by roll number
  3. Select available rooms and capacities.
  4. Click Generate Plan.
  5. Review the seating chart showing student → room → seat mapping.
  6. Print seating lists for room supervisors.

Step 4: Hall Tickets

  1. Click Hall Tickets → Generate.
  2. Each hall ticket includes:
    • Student photo, name, class, roll number
    • Exam schedule (subjects, dates, times)
    • Seating assignment (room number)
    • School logo and exam name
    • Instructions for students
  3. Print in bulk (8 per A4 page) or let parents download from the portal.

Customizing Hall Tickets

Go to Settings → Templates → Hall Ticket to edit the design and included fields.


Step 5: Publish & Notify

  1. Click Publish Exam.
  2. The schedule becomes visible to students and parents.
  3. Optional: send notification via SMS/email/in-app.
  4. Parents can view the schedule and download hall tickets from their portal.

After the Exam

  1. Enter MarksSee Marks Entry Guide
  2. Generate Report CardsSee Report Cards
  3. Analyze Results — View class-wise pass/fail statistics

Troubleshooting

Q: Can I edit the schedule after publishing? A: Yes. Edit and republish. Students/parents will see the updated schedule and get notified of changes.

Q: How do I handle practical exams separately? A: Create a separate exam event for practicals, or add practical components within the same exam with different dates.

Q: Can I schedule exams for specific sections only? A: Yes. When creating the exam, select specific sections instead of whole classes.
