Advanced Search & Filtering for Student Records

TL;DR: Find any student instantly using global search, or use advanced filters to create precise lists — by class, fee status, attendance percentage, gender, custom fields, and more.


The search bar at the top of every page supports:

  • Name — "Rahul Sharma"
  • Admission Number — "ADM2026001"
  • Parent Phone — "9876543210"
  • Roll Number — "15"

Results appear instantly as you type.


Advanced Filters

Go to Students → All Students → Filters for powerful filtering:

Attendance %Above/below a threshold (e.g., below 75%)

Combining Filters

Filters stack — combine multiple for precise results:

Example: "All Class 10 female students with attendance below 75% and overdue fees"

  • Class: 10
  • Gender: Female
  • Attendance: Below 75%
  • Fee Status: Overdue

Saved Filters

Save frequently used filter combinations:

  1. Apply your filters.
  2. Click Save Filter.
  3. Name it (e.g., "Fee Defaulters Class 10").
  4. Access saved filters from the dropdown next time.

Quick Lists

Pre-built lists for common needs:

  • Birthday This Week — Students with upcoming birthdays
  • New Admissions This Month — Recently enrolled students
  • Fee Defaulters — All students with overdue fees
  • Low Attendance — Below 75% attendance

Exporting Filtered Results

After applying filters:

  1. Click Export.
  2. Choose format (Excel, CSV, PDF).
  3. Select columns to include.
  4. The export only includes filtered results, not all students.

Troubleshooting

Q: Search returns no results but the student exists. A: Check for typos. Try searching by admission number or parent phone instead of name. Verify the student's status is "Active."

Q: Filters seem slow. A: For schools with 5,000+ students, complex multi-filter queries may take a few seconds. Try reducing the number of active filters.
